Proposal Publishing Associate

 

DEPARTMENT: Sales

REPORTS TO: Code Solutions Manager

CLASSIFICATION: Full Time Non-Exempt

GENERAL DESCRIPTION OF THE POSITION:

The primary function of this position is the timely editing, production and distribution of Code proposals developed in support of selling new Code contracts. This position assembles proposal content into a professional document, then edits, outputs and distributes it in print and electronic forms. The Proposal Publishing Associate maintains proposal archives and templates, as well as the data that tracks and communicates proposal requests and responses.

ESSENTIAL RESPONSIBILITIES OR TASKS PERFORMED:

  • Works with Code Solutions Manager to provide timely delivery of high-quality Code proposals
  • Supports Sales representatives who are key internal customers
  • Uses MS Word to compile, format and organize text and graphics into proposals, then outputs and distributes to internal and external customers in a variety of print and electronic formats
  • Uses CRM application to track proposal tasks and record sales data; uses web-based project management application for workflow tasks
  • Edits content for style, grammar and internal organization
  • Maintains proposal templates, libraries and versions
  • Meets established deadlines, communicating progress and issues in a timely manner
  • Inputs and maintains administrative data for proposals, RFPs and pricing in a variety of Sales and Productions systems and software

Experience and Skills:

QUALIFICATIONS AND KEY COMPETENCIES:

  • Bachelor’s degree in English, journalism, or equivalent skill level
  • Effective written and verbal communication skills
  • Strong attention to detail and ability to spot errors and inconsistencies
  • Proficient in Microsoft Office, especially Word and Excel, with experience in advanced tasks such as creating a table of contents, creating and working with fields, working with complex header and footer requirements, and manipulating and inserting images
  • Self-motivated and able to work independently, with a continuous improvement mindset
  • Demonstrated ability to work cross-functionally and manage multiple tasks simultaneously while meeting deadlines
  • Organized thinking, with excellent creative problem-solving ability
  • Personal values that match our corporate values
  • Able to work additional hours as needed during peak proposal period (typically September and October)
  • Prior sales experience preferred
